Actioned: Meeting Minutes · Updated 7 November 2026

Actioned records meetings and conversations, then turns them into transcripts and minutes. This page explains what leaves your device, who handles it and how long they keep it.

There are no accounts, ads, analytics or tracking in Actioned. We don't sell or share personal information, and we don't use your recordings, transcripts or minutes to train AI models.

What stays on your device

Your recordings, transcripts, minutes, folders, formats and action items are stored on your iPhone (and on your Apple Watch while a watch recording is being sent). If iCloud is on for Actioned, they also sync through your own iCloud account using Apple's CloudKit; audio syncs only if you turn on Sync Audio in Settings. We can't see your iCloud data.

What is sent, and why

When you finish a recording (or import one), Actioned sends it to our server, which passes it to two processors:

ProcessorWhat it receivesHow long it keeps it
AssemblyAI (USA)
transcription with speaker labels
The audio, plus words to listen for: the folder's name and its Words to Listen For, speaker names, and calendar invitees' names if you turned Calendar on. As soon as your device has saved the transcript, we ask AssemblyAI to delete the audio and the transcript, which it does straight away. If that request never arrives (say you went offline), AssemblyAI deletes them automatically within a day. AssemblyAI does not use them to train or benchmark its models.
Anthropic (USA)
Claude: minutes, titles, speaker names, follow-up emails, Ask Actioned
The transcript text (never the audio), the minutes format, the date, length, folder name, speaker names and, if Calendar is on, the meeting's title and the invitees' names. For Ask Actioned, your question and the parts of your notes it needs. Anthropic deletes it within 30 days. It may keep content flagged as breaking its Usage Policy for up to 2 years. Anthropic does not train its models on it.

Exporting minutes to Word or PDF sends the minutes text to our server, which makes the file and sends it back without keeping it.

Because our server and both processors are in the USA, your information is handled outside Australia. We use processors that commit to deleting it as described above and not using it for training.

Shared links

If you choose Share Link on a note, its title, date and minutes (not the audio or transcript) are stored on our server so that anyone with the link can read them in a browser. The page isn't listed or indexed by search engines. It's deleted after 30 days, or straight away when you choose Stop Sharing Link. Only the device that made the link can change or stop it.

Our server

Our server runs on Railway (USA). Apart from shared links, it keeps none of your audio, transcripts or minutes. Its logs hold technical details only, such as request times and token counts.

To stop misuse and run the free plan, the server keeps:

Calendar, Reminders, notifications and the microphone

Actioned asks before it uses any of these. The microphone records only while you're recording. Calendar is off unless you turn it on; it's read to find the meeting you're in and to prepare meeting briefs. A note keeps a copy of its meeting's title, times and invitees (including their email addresses, so a follow-up email can be addressed to them); the email addresses are never sent to our server or the processors. Reminders is used only when you add action items to it. Notifications are made on your iPhone.

Consent of the people you record

Recording laws vary by place, and many require everyone's consent. You're responsible for telling people when you're recording them and getting any consent the law requires.

Your choices and rights

Actioned isn't directed at children under 13, and we don't knowingly collect their information.
